Job Overview
The University of Cincinnati is actively seeking an Executive Administrative Associate to support the Senior Vice President of Administration & Finance/Chief Financial Officer, the Senior Associate Vice President of Operations, and the Vice President for Finance.
The Executive Administrative Associate provides high-level administrative support for executive offices, performs complex duties requiring confidentiality and the ability to work independently with sound judgment, discretion, and a sense of urgency. The Executive Administrative Associate will perform regular website maintenance and work well within Microsoft Office Suite. Acting as the first point of contact for these Executives, this person will field intial inquiries including calendar time, email, phone calls, etc. The ideal candidate will be customer service oriented, a self-starter, and open to continuous learning.
Essential Functions
- Support the daily operational and administrative functions of executive level offices.
- Serve as the primary administrative resource representing executive offices to internal and external audiences by providing accurate, timely information and handling routine inquiries directly.
- Manage and support projects using a variety of technologies with focus on quality and accuracy in a dynamic, fast-paced environment.
- Maintain the status of ongoing projects, compile reports and create presentations.
- Update presentations and other material to meet accessibility standards.
- Schedule, coordinate, and support logistics for meetings.
- Manage active calendars, scheduling meetings and speaking engagements, and special events.
- Coordinate travel arrangements and related meeting requirements (e.g., prepare reimbursements for university approved expenses).
- Screen and evaluate incoming and outgoing correspondence and preparing responses, as appropriate.
- Act as contact point for other administrators and internal and external constituents.
- Create procurement card expense reimbursement requests.
- May provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).

Required Education
- Bachelor's Degree.
- Eight (8) years of relevant education, experience and/or other specialized training can fulfill minimum education and experience requirements.
Required Experience
- Five (5) years of relevant administrative experience.
Additional Qualifications Considered
- Proficiency in Microsoft Office suite.
- Excellent communication and interpersonal skills.
- Understand basic utilization of AI tools to assist with projects and presentations.
- Ability to maintain confidential information.
Physical Requirements/Work Environment
- Office environment/no specific unusual physical or environmental demands.
