Position Summary

Assist in the smooth operation of the children’s visitation program by supporting visitation staff and meeting the needs of children and families in the program.

 

Primary Duties

  • Supervise children before/after a visit begins when there are gaps in transportation.
  • Assist in visitation by bringing developmentally appropriate toys and activities, snacks or other items requested by the visitation facilitator.
  • Escort children to the restroom as needed.
  • Organize toys and activities for visits.
  • Clean/sanitize toys on a regular basis, and ensure that visitation rooms are clean and organized.
  • Provide back-up for visitation/direct service as needed.
  • Ability to lift up to 40 lbs.

 

Preferred Qualifications          

  • High school diploma, with preference given to candidates with some college or training in child development.  Requires strong customer service skills, knowledge of child development and experience working with children.   • Experience and/or training in trauma informed care and motivation interviewing skills

 

Minimum Qualifications

  • Must be age 16 or older.
  • Must be enrolled at least part-time (6 credit hours for undergraduate students and 5 credit hours for graduate students), with the exception of summer quarter, or will be a registered student during the next academic quarter/semester for summer work. Student workers must meet the enrollment requirement for the entire quarter.
  • Recipient of work study award based on financial need and must be admitted into a degree program.

 

Relationships

The Case Aide must maintain positive working relationships with children and families served,  HCJFS and court personnel, contract agencies, and all agency staff and volunteers.

Client records and other agency and HCJFS information.

Position Summary

This position is responsible for performing a wide variety of clerical duties, including organizing, coordinating, scheduling and performing various office functions.  This position will assist in ensuring effective communication between staff, volunteers, clients, and visitors. 

 

Primary Duties

  • Answers telephone in a professional manner and provide information and assistance or routes caller to appropriate staff member. Takes phone or visitor messages and delivers to appropriate individual.  Provides information and referral services as needed. 
  • Greets visitors and volunteers to the office in a professional manner and directs them to appropriate individual or location.
  • Maintains the appearance of their general office areas on a daily basis.
  • Works collaboratively and communicates appropriately with other staff members.
  • Types, completes data entry, prepares reports, updates computer files, and proofreads documents as requested.
  • Maintains confidential client files: ensures files are complete, keeps a record of attendance, update client files, completes change of addresses as needed and filing.
  • Maintains current forms and ensures the availability of such forms.
  • Makes copies, collates and staples materials as requested in a timely manner.
  • Operates office machines including computer, fax, copier, and communications equipment.
  • Responds respectfully and effectively to people of all cultures, classes, race, ethnic backgrounds, and religions in a manner that recognizes, affirms, and values the worth of individuals, families, and communities and protects and preserves the dignity of each.
  • Adheres to ethical standards of professionalism including maintaining confidentiality of each client/family.
  • Performs other related duties as assigned.

  • Prefer experience in performing administrative and/or Clerical duties in an office setting
  • Skills: Competency in Microsoft Office (Excel, etc.), Access or other software/database systems. Ability to work under deadlines and multiple task pressures, in a fast paced environment. Ability to handle sensitive information, maintain high level of confidentiality and to foster community partnerships.
