Administrative Assistant and Assistant Education Program Manager

Administration Assistant Duties

  • Composing and typing meeting notes, routine correspondence, and reports
  • Learning to operate new office technologies as they are developed and implemented
  • Assist with website management
  • Assist with coordinating meetings, events and conferences
  • Operating office equipment such as fax machines, copiers, and phone systems, and using computers for spreadsheets, word processing, database management and other applications
  • Completing and creating forms
  • Creating and mailing, publications, newsletters, promotional material, and other information
  • Setting up and maintaining paper and electronic filing systems for records, correspondence, and other materials
  • Greeting parents and visitors, handling their inquiries, and directing them to the appropriate persons according to their need
  • Maintaining scheduling and event calendars
  • Answering telephones and giving information to callers, taking messages, and transferring calls to appropriate individuals
  • Making copies of material when needed
  • Assist Intern/Volunteer Project Coordinator and Development Director
  • To perform all other duties assigned by Executive Director


Assistant Education Program Manager

The Assistant Education Programs Manager will assist Executive Director in planning, developing, executing, and maintaining new and current QCF programs. As the Assistant E.P.  Manager you will also work on partnership development with academic enrichment programs in the city. You will also work closely with website manager, creating educational opportunities page, and other resources for students, alumni, and parents of QCF. You will be a liaison for the students, families, and tutors. As Program manager you will be expected to attend all alumni meetings and attend all R.A.I.S.E. meetings. You will also collaborate with Public Relations Coordinator and Marketing Manager to develop new ideas and maintain Teen Summit.



Position Information

  • Hourly Pay Rate $12.00 per hour
  • Working hours are between Monday - Friday 9am -5pm with occasional evenings and weekends required (Student will work 20 - 25 hours per week).
Minimum Requirements
  • Recipient of work study award based on financial need and must be admitted into a degree program.
  • Must be enrolled at least part-time (6 credit hours for undergraduate students and 5 credit hours for graduate students), with the exception of summer quarter, or will be a registered student during the next academic quarter/semester for summer work. Student workers must meet the enrollment requirement for the entire quarter.
  • Must be age 16 or older.


Required Skills

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures.
  • Knowledge of principles and processes for providing customer services
  • Ability to work with students and interns part of various QCF programs and events


Other Qualifications

  • Ability to multitask - likely working on multiple events at one time
  • Strong effective communicator
  • Extremely strong organizational, writing, verbal and interpersonal skills
  • Beneficial, but not necessary: Graphic design experience (Adobe Creative Suite), knowledge of Word press (or similar programs), or Website Management
