Job Overview

The College of Nursing is seeking a Project Coordinator to assist Principal Investigator Dr. Randi Bates with her research study. The successful candidate will manage and coordinate day-to-day project logistics on a multi-site five-year project focused on young children’s sleep. The incumbent will manage and conduct all activities under the supervision of the PI and in accordance with all IRB and human subjects research standards across multiple institutions. This role will be based in Cincinnati, Ohio. Significant regional field work consisting primarily of regular site visits to organizations serving children, home visits to study participants, and management of research and laboratory materials at the University of Cincinnati will be required. This position is full-time,100% FTE and is fully grant funded. This position is expected to end on June 30, 2029. The position will be reviewed annually based on performance and funding.

Essential Functions

  • Maintain recruiting and scheduling research subjects; assist with developing or amending study protocols; assist with developing data collection tools; assist with building databases; and provide general administrative support 
  • serve as a primary point of contact for current and future research study participants 
  • maintain records of all communication efforts 
  • supervise recruitment and data collection 
  • lead and assess the quality of all fieldwork 
  • ensures quality of data collection and adherence to best practices 
  • administer both caregiver and child measures and assessments.
  • ensures ongoing and new research participants are onboarded properly and promptly 
  • provides implementation support, coaching, and training to study participants, ensuring that study activities are delivered with fidelity and that technical or material support is available promptly 
  • provide technical assistance, troubleshooting, and on-call technical and implementation support to study participants, ensuring proper implementation and delivery of research in accordance with study protocol
  • distribute technology and assists with inventory management, coordination, and delivery logistics for technological devices and other materials provided to study sites and participants. Store materials at secure locations at the University of Cincinnati. 
  • conduct and coordinate data management and retention tasks 
  • provide guidance on all data collection protocols (e.g. assessments and observations) 
  • schedule, manage, and conduct data collection efforts (e.g., child assessments, biospecimen collection and storage according to protocols, caregiver surveys, and observations using standardized tools and technology)
  • oversees/conducts any necessary data management, data coding, and data cleaning on an ongoing basis

  • manage project communications with participants, staff, recruitment site personnel, and investigators 
  • track project timelines and goals 
  • tracks data related to research processes and other aspects of implementation 
  • track participant data and data collection efforts
  • oversee human subject reports and compliance needs 
  • issues payments and other incentives to study participants. Ensures all payments are issued correctly and tracked with fidelity. Ensures full compliance with all University and funder obligations related to human subject payments and record keeping. 
  • supervise undergraduate research assistants 
  • assists with the supervision of Graduate Associates 
  • manage IRB and human subjects' activities (e.g., consent), including: scheduling, planning, and delivery of recruitment, implementation activities, and advisory group sessions
  • handle the ordering, maintenance, and distributing of project materials 
  • Schedule, plan, and lead weekly project planning meetings and other meetings as assigned. Participates in meetings and planning sessions to share implementation observations and provide updates to inform program and process improvement. 
  • Coordinate and/or facilitate training sessions and regular meetings for research team 
  • maintain and manage required trainings for self and all project personnel 
  • regularly report updates on participant recruitment, study progress, and study completion to relevant parties
  • supports other aspects of outreach, recruitment, consent, data collection and support as requested 
  • Builds and nurtures relationships with organizations that serve children and other stakeholders to ensure strong communication and ultimate success between the project and these individuals and groups

Required Education

  • Bachelor's Degree
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

One (1) year of relevant experience in program or project coordination.

Additional Qualifications Considered

Experience or demonstrated interest in program planning and administration. Prior experience working with families and young children. Knowledge of desktop computing and Microsoft Office suite products. Ability to work collaboratively and respectfully with colleagues, especially those of differing backgrounds. Has general awareness in research techniques or methods, regulatory policies and procedures, and relevant scientific field. Valid driver's license and reliable vehicle and/or access to reliable transportation to conduct required field work. 

Prior experience with project management.

 

Experience managing a multi-year federally-funded grant.

 

Experience with REDCap. Knowledgeable of research practices, including experience with human subjects projects and collection of biospecimens and storage of biospecimens in an enclosed laboratory with biosafety level regulations.

 

Experience in the field of early childhood research. Experience working with families and children from diverse backgrounds.

 

Ability to multi-task and manage multiple projects simultaneously.

 

Knowledge and skills developed through work experience or training in early childhood development or related discipline.
