This position supports the office by centrally managing digital systems access, physical space, and office resources, including budgets. This position also supports the creation of Learning Community configurations, as well as centralized events coordination.

 

Event Planning and Management Duties:

  • Coordinate arrangements for centralized office events including scheduling venue, facilities arrangements, catering, and materials
  • Partner with unit staff to manage regularly scheduled events as well as develop new events in keeping with unit and university goals and priorities
  • Contribute to content development for events that focus on faculty and staff development, as well as student development

 

Office Operations Duties:

  • Coordinate the use and upkeep of unit facilities and equipment
  • Serve as unit liaison to university offices handling regarding physical resources and space. These include
    • coordinating with UC Public Safety to secure employee keys, badges, & building entry
    • overseeing supply orders and maintaining supply and technology inventories
    • collaborating with UCIT to ensure appropriate technology replacement cycles
    • liaising with Planning, Design, and Construction to provide updates on space utilization, signage, and other relevant projects
  • Serve as unit liaison to university offices regarding access to digital systems and information. These include
    • working within the Student Information System to produce reports relevant to student success and contributing to the creation of Learning Communities for partners across campus
    • coordinating office access to share drives, Catalyst & CaRT and other identified platforms to support student success
  • Serve as unit lead on purchasing and budgetary support with responsibilities including
    • providing budget updates to Learning Commons leadership team & undergraduate affairs Director of Business
    • coordinate or approve internal transfers, PO orders, and purchasing card transactions
    • ordering purchasing cards for Learning Commons staff, as designated

 

Learning Community Enrollment Management Duties:

    • Coordinate with Learning Commons staff members and campus partners to review college requests for Learning Community configurations, implement and disseminate changes to relevant partners
    • Create instructional and trouble-shooting guides for campus partners and students regarding the Learning Community registration process
    • Directly assist students and advisors with troubleshooting Learning Community registrations during enrollment periods

 

Other Duties:

  • Serving on internal committees relevant to work responsibilities
  • Attending trainings on appropriate university systems and policies in order to maintain office compliance
  • Represent unit on committees and attend meetings on behalf of unit leadership as requested
  • Supervise personnel (e.g., student assistants) as assigned
  • Other duties as assigned

 

Minimum Qualifications:

Bachelors' degree with three (3) years’ experience; -OR- Associate's degree with five (5) years’ experience; -OR- seven (7) years’ experience. Experience must be in program coordination.

Ideal Qualifications:

  • Experience related to areas of responsibility: office operations, budget and financial processes, facilities and equipment, event management and data management
  • Familiarity with systems used at UC for managing administration and office functions including  SAP and Catalyst (PeopleSoft) student information systems
  • Demonstrated experience with Microsoft Office products, including Excel and Access
  • Ability to communicate effectively orally and in writing
