Job Overview

The Program Director is responsible for managing and executing on-campus and external events for a variety of university and non-university clients. Under general supervision from a designated administrator, this position manages all activities in the Conference and Event Services office to include the design and implementation of conferences and events, scheduling and coordination of university meeting spaces, and managing summer conference programs. The Program Director serves as a central point of contact for clients and plays a critical role in the successful execution of events.

Essential Functions

Campus Events

• Coordinate the scheduling of meeting space and facility arrangements for events in Digital Futures Building, Nippert West Pavilion, Tangeman University Center and other designated areas.

• Secures agreements from group and serves as primary event liaison to group coordinators.

 

Conference Management

• Coordinate and execute a variety of meetings and conferences in university and non-university locations.

• Negotiate facility contracts.

• Coordinate meeting spaces, sleeping rooms, food and beverage, audiovisual and technology, transportation, and any other services required for programs.

• Manages process of obtaining speakers and coordinating their needs.

• Develop and implement program marketing plans and publication materials.

• Manage registration process and preparation of participant materials.

 

Summer Conferences

• Coordinate all essential services needed for summer camps and conferences, including (but not limited to) housing and room assignments, meals, parking, and rec center access.

• Secures agreements from group sponsors and serves as primary event liaison with group coordinators.

 

Minimum Qualifications

  • Bachelor’s Degree Required
  • Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement. Specialized Training Lists specialized training required to perform the position duties. Certification/Licensure

Financial Management

• Establishes management fees that support department fiscal needs.

• Establishes accurate financial goals for each program and registration fees that support fiscal and programmatic needs.

• Exercises total budgetary control for each program, developing comprehensive and accurate program budgets and monitoring revenue and expenses on an ongoing basis.

• Prepares final program bill and reports.

 

Administrative

• Occasional travel requirements as needed.

• Serves on annual university event committees.

• May provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).

• Perform related duties based on departmental need. This job description can be changed at any time

Required Education

  • Bachelor's Degree
  • Eight (8) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

Three (3) years experience in program development or event/meeting planning.

Additional Qualifications Considered

• Exceptional organizational and multitasking skills.

• Strong communication and customer service abilities.

• Event scheduling and conference management software, specifically CollegeNet 25Live, and Momentus/Ungerboeck

• Detail-oriented and capable of handling financial transactions accurately.
