The UC College of Medicine, Department of Medical Scientist Training Program (MSTP), is recruiting a full-time Program Coordinator or Program Manager. MSTP’s mission is to recruit, mentor, and educate a varied group of leaders in their chosen careers that integrate clinical medicine and research to advance clinically relevant science and improve health throughout the world. To support the continued growth of the program, the program is hiring an administrative staff position to join the program leadership team.

 

In this role, the Program Coordinator/Program Manager will be responsible for reviewing applicants and organizing recruitment and onboarding efforts for the program in addition to generating data insights to guide program decision-making. Specific responsibilities include scheduling meetings, organizing interview logistics, developing program recruitment materials, engaging with prospective applicants, developing student outcomes tracking system, engaging with staff and leadership to implement new program initiatives, and working collaboratively with other MSTP staff members to support the program. Position title will be dependent upon the final candidate's education and relevant experience.

Essential Functions

  • Manage communications with students regarding programmatic deadlines, requirements, and events.
  • Organize, execute, and direct programmatic professional development events.
  • Manage & develop content for program Website.
  • Create and distribute program newsletter.
  • Maintain confidential office records.
  • Generate data insights to guide program decision-making.
  • Manage, design, develop, modify, and present programs. Perform program needs assessment and make recommendations.
  • Work collaboratively with staff & leadership to support the program and its students.
  • Implement policies and procedures.
  • Maintain budget, prepare contracts, approve, and monitor expenditures, prepare budget requests and financial reports.
  • Act as liaison to internal departments, external entities, and community organizations.
  • May provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).

Minimum Requirements

Program Coordinator:

Required Education

  • Bachelor’s Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience
One (1) year of program coordination experience.

Program Manager:

Required Education

  • Bachelor’s Degree.
  • Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience
Three (3) years of relevant experience.

Additional Qualifications Considered

A qualified candidate in this role will be a self-starter who can design and implement new program initiatives. They will also be able to work collaboratively with staff, faculty, and students to achieve goals and can effectively manage & prioritize multiple projects at the same time. Qualified candidates will have experience with developing and managing databases to track program outcomes and drive insights. Experience with survey design and coding are a plus.
