Job Overview

The University of Cincinnati is currently accepting applications for an Office Manager. The Office Manager will report directly to the CHRO providing leadership-level support and serving as a key member of the Office of Human Resources support team. The Office Manager will function as the frontline liaison for the office, receiving all visitors and interacting with university students, faculty, and staff with the highest professional standards. This role will oversee and manage the front desk and its student associates. The selected candidate will provide targeted administrative support, managing calendars for key personnel, assisting with the planning and execution of various complex activities requiring confidentiality and the ability to work independently with sound judgment, discretion, and a sense of urgency.

 

This position requires someone who has critical thinking skills, organizational skills, project management skills, and executive level communication skills. 

 

This position is full-time and 100% on-site.

Essential Functions

  • Support the daily operational and administrative functions for the Office of Human Resources.
  • Manage front desk student associate staffing, schedules, and overall front desk operations.
  • Serve as office manager and primary resource for multiple team members and represent the office to internal and external audiences by timely providing accurate information and handling routine inquiries directly.
  • Screen and evaluate incoming and outgoing correspondence (including phone calls, email, and other communications), manage their distribution, and respond appropriately.
  • Schedule, coordinate, and support logistics for meetings, speaking engagements, special events, and travel arrangements.
  • Prepare complex reports and itineraries; manage complex active calendars; track and monitor project statuses.
  • Monitor budgets; reconcile procurement cards; prepare reimbursements for university-approved expenses; monitor supplies and order inventory.
  • Maintain electronic and hard copy filing system.
  • May provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).

Required Education

Bachelor's Degree in a related field

Eight (8) years of relevant work experience and/or other specialized training can be used in lieu of education requirement

Required Experience

Four (4) years of experience in a related field. Experience may require one (1) year supervision.

Some positions may require experience in university administration.

Additional Qualifications Considered

Advanced working knowledge of Microsoft Office Suite, with emphasis on Teams collaboration tools.
