About this position

The Learning Commons is UC’s central hub for academic support on the Clifton campus, providing a wide range of resources to empower students. This collaborative office offers tutoring, workshops, in-class support, and metacognitive programs designed to promote learning, a sense of belonging, and academic success. The Front Desk and Office Operations Program Coordinator is responsible for managing the daily operations of three front desks staffed by student workers. This role includes overseeing the hiring, training, scheduling, and ongoing management of student staff. Additionally, the Coordinator will coordinate processes and operations, including supply ordering, managing office key distribution and access, technology inventory, and basic website updates. This position plays a critical role in ensuring efficient front desk operations and seamless office management. Job Overview

Coordinate processes, projects, special events, and provide administrative services leadership.

Essential Functions

  • Hire, onboard, train, and supervise student workers for three front desks
  • Develop and maintain work schedules to ensure adequate desk coverage during operational hours
  • Provide ongoing coaching, performance evaluations, and professional development opportunities for student staff
  • Create and maintain training materials, procedures, and policies for front desk operations
  • Track staff timekeeping records and resolve errors as needed, ensuring accurate reporting
  • Assist supervisor with compiling, analyzing and interpreting front desk performance and satisfaction reports; monitor and evaluate progress
  • Act as the primary point of contact for resolving escalated front desk issues and ensuring high-quality customer service
  • Order and manage office supplies, maintaining appropriate inventory levels
  • Maintain and track office technology inventory, ensuring proper documentation and functionality
  • Serve as the primary point of contact for copier and printer maintenance, liaising with vendors for repairs and service agreements
  • Update department website with timely and accurate information, including events, resources, and operational changes
  • Process all key and access requests
  • Represent the university in a positive manner and attend meetings/conferences and may represent the administrator with moderate authority to make commitments

Minimum Requirements

Required Education

  • Bachelor’s Degree
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

One (1) year of relevant experience.
