Job Overview

The Osher Lifelong Learning Institute (OLLI), located within the College of Cooperative Education and Professional Studies, is seeking an Executive Staff Assistant. This position reports directly to the Director of OLLI and is primarily responsible for the day-to-day business operations. This position requires great attention to detail, good communication skills, and a keen ability to solve problems quickly and independently.

 

Founded in 1989, the Osher Lifelong Learning Institute at the University of Cincinnati offers non-credit courses, programs, and social activities for people aged 50 and better who want to experience learning in a friendly, fun, and engaging community. Each year, OLLI offers hundreds of daytime courses for personal enrichment, ranging from traditional college subjects to hobbies, crafts, and finances. More information at www.uc.edu/olli

Essential Functions

FINANCIAL:

  • Obtain monthly financial reports
  • Pay bills and invoices
  • Process refunds and reimbursements
  • Process check deposits

MEMBER REGISTRATION:

  • Create courses and class sections in registration software
  • Assist members with online registration
  • Perform phone and mail registration
  • Manage class wait lists
  • Create and distribute class rosters
  • Create and provide reports (financial, class, etc.)

ADMINISTRATIVE:

  • Answer telephone; respond to inquiries or forward calls as appropriate
  • Monitor olli@uc.edu email account; respond to inquiries or forward messages as appropriate
  • Manage front desk functions: respond to student/instructors needs and inquiries
  • Maintain databases and create mailing lists
  • Attend meetings, prepare minutes and meeting notices
  • Make copies and perform other clerical tasks
  • Process purchase orders
  • Open Zoom classes; host as needed.

Required Education

Bachelor degree with one (1) year of experience; -OR- Associate degree with three (3) years of experience; -OR- five (5) years of experience in program coordination or office administration

Required Experience

One (1) year of relevant work experience

Additional Qualifications Considered

  • Proficient with Microsoft Office

  • Type of Appointment: Full-Time year-round. Will consider 80%.
