Office of Graduate Education, College of Medicine


Under general supervision from the Associate Dean for Graduate Education, the position will have primary responsibility for the following activities:


  • Manage the fiscal operations for the Office of Graduate Education (OGE) in the College of Medicine (CoM), including assistance in the creation and management of an annual operating budget within the OGE, continual monitoring of expenditure, creation of monthly accounting reports, management of P card accounting, oversight of designated expenditures associated with Ryan Foundation funds, arranging approved travel and appropriate expenditure associated with the variety of OGE recruitment activities, fiscal oversight and responsibility for the College-wide Summer Undergraduate Research Fellowship (SURF) program.


  • Oversee University Graduate Assistantship, Graduate Assistant Scholarship, Graduate Incentive Award, and College of Medicine Match allocations to the variety of CoM graduate programs; maintain liaison with all CoM graduate program coordinators to monitor allocation and appropriate reallocation where necessary.


  • Oversight of the non-academic operating budget and associated fiscal operations of the CoM Neuroscience Graduate Program; maintain appropriate liaison with the CoM Accounting & Finance office.


  • Assist and, where appropriate, take an organizational or supervisory role, in the planning, coordination, ordering of food and supplies for, and execution of, specialized events within the OGE, including Professional Development opportunities for Graduate and Postdoctoral trainees, URM-related programs and activities, the SURF program, the Graduate Student Research Forum, the Biomedical Research Day, and others as appropriate.  Provide supervision to student workers as warranted.


  • Identify operational or system problems when encountered and implement solutions


  • Represent the Associate Dean at internal committee meetings as occasion demands


Minimum Requirements:   Bachelors' degree with three (3) years’ experience; -OR- Associate's degree with five (5) years’ experience; -OR- seven (7) years’ experience.  Experience must be in program development or business administration.  Experience may require at least one (1) year of supervision.
