Working Title: Coordinator of Member Services

Reports To:  Assistant Director of Member Services


The Coordinator of Member Services assists in coordinating the daily operations of Member Services. This position has significant administrative and financial responsibilities. A vital component of this position is a strong commitment to teamwork, customer service, and fiscal responsibility.



  • Maintain the membership freeze, renewal, and cancellation process for all members including associated communications and recordkeeping.
  • Coordinate the billing process including: reports; credit card, Electronic Funds Transfer (EFT), and payroll deduction declines; reconcile accounts receivable.
  • Responsible for daily reconciliation of sales and cash handling operation and reconciliation. 
  • Coordinate activities of the Campus Recreation member services and front office staff including but not limited to staff hiring, training, scheduling, supervising and evaluating; project development and supervision.
  • Assist in providing tools for new employee training and staff meetings. 
  • Develop/revise employee handbooks, policies and procedures as needed.
  • Coordinate pro shop inventory counts and daily reconciliation. Work in partnership with Follett (Market on Main) to maintain inventory on consignment.
  • Investigate options and purchase inventory from other vendors when necessary.  Maintain appropriate inventory levels.
  • Manage the locker rental, towel rental, and equipment check out programs. Manage member parking.
  • Assist in coordinating membership, program, and service sales and facility access. 
  • Assist in coordinating CSI Member Management System including system administration and policies and procedures.
  • Assist in the coordination of the Rec Rewards Membership Reimbursement Program including setup in CSI, recruitment and retention efforts, and customer service.
  • Collaborate with all Campus Recreation staff on events and programs and facilitate communication to the Member Services staff.
  • Assist with marketing efforts including membership promotions and special events.
  • Assist in coordinating member communications including: e-newsletter; Campus Recreation website; membership brochures, forms, and flyers; social media communications (Facebook, Twitter, Instagram, Sprout Social); digital signage.
  • Develop and maintain retention programming.
  • Responsible for ordering office/copier supplies and managing the supply budget.
  • May require occasional early morning, late night, and weekend hours.
  • Instruct American Red Cross CPR/AED Professional Rescuer Trainings (Instructor training is provided).
  • Other duties as assigned.


Minimum Qualifications

  • Bachelor’s degree with three (3) years experience; -or- Associate’s degree with five (5) years experience; -or- seven (7) years experience.


Preferred Qualifications

  • Experience supervising staff.
  • Strong communication, organization, management, leadership and professional skills.
  • Proven commitment to student and staff development and customer service.
  • A demonstrated ability to take initiative, problem solve, and meet deadlines.
  • Ability to collaborate effectively as a member of a goal-oriented team.
  • Strong working knowledge of recreation management system.  CSI preferred.
  • A working computer knowledge using Microsoft Office and Adobe products in a Windows/network environment.
  • Master’s degree.



Salary range $39,000.00 - $41,000.00. Excellent benefits including 20 vacation days and tuition remission.
