Job Overview
The University of Cincinnati Blue Ash College invites applications for an Associate Director of Academic Affairs position. Under the supervision of the Associate Dean of Academic Affairs, the Associate Director of Academic Affairs is a leadership position with collaboration within and outside of the college.
The duties of this position include the following: provide leadership of the Academic Support Team in support of the College’s academic units (13 departments); engage in team building and direct supervision of exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, time off approval, etc.); manage the scheduling and registration of classes; manage the scheduling of rooms; liaison with the University Registrar’s Office for scheduling of classes and other registration and scheduling issues; design and oversee preparation and analysis of reports; manage curriculum approval processes; manage program status changes; assist in coordination of academic assessment data and reporting; manage course evaluation processes; manage non-credit offerings. The Associate Director of Academic Affairs works collaboratively with department heads, faculty, staff including those in Advising, Enrollment Services, and the UC registrar’s office.
This position is eligible for a hybrid work schedule with the option of one remote working day per week with the possibility of two remote days during the summer semester. Residence must be within the Cincinnati Tri-State area (OH/IN/KY) with reasonable distance to campus to have the ability to report to campus as required. Remote work arrangements are subject to change in accordance with university policies. This position is a full-time staff position.
Essential Functions
- Lead the Academic Support Team that includes Program Managers and Program Coordinators who collectively serve Blue Ash College’s 13 academic departments.
- Ensure process efficiency, cross-training and redundancy, and business continuity of Academic Support
- Manage and assure accuracy of class schedule including classroom assignments and course changes.
- Work closely with the Associate Dean of Academic Affairs to plan and problem solve course scheduling and registration issues.
- In cooperation with Curriculum and Academic Affairs committee and Associate Dean, oversee college level use of eCurriculum system and manage eCurriculum approvals, course attributes, and process for updating program status.
- Coordinate approvals of course drop, add, and withdraw requests with the Registrar, faculty, and Associate Dean, as appropriate.
- Work with UC registrar’s office to assure consistent processes and application of policies.
- Manage course permissions.
- Provide supervision and oversight to academic support team.
- Coordinate office assignments and manage space usage.
- Manage student course evaluation orders.
- Manage the space scheduling system (25Live) and oversee training, approvers, and providing reporting data to the Office of the Registrar when requested.
- Act as the Registrar liaison for the college (applying the college seal to official documents, signing paperwork as the college’s Registrar)
- Manage all non-credit course approvals and offerings through Skills@UC
- Other academic affairs projects and responsibilities, as assigned.
Required Education
Bachelor’s Degree
Required Experience
- Three (3) years of experience with registration, scheduling, or related field.
- One (1) year of supervision experience
Additional Qualifications Considered
- Possess excellent communication skills and the ability to work collegially with academic unit heads, faculty, staff, and students with a commitment to a student-centered environment.
- Accuracy and close attention to detail.
- The ability to manage queries, databases, student information systems, and scheduling software.
- Experience in program coordination, registration, classroom scheduling, and curriculum approval processes.
- Experience in project management and overseeing multiple projects at one time.
