Job Overview

As one of the oldest medical schools in the country, the UC College of Medicine has a reputation for training best-in-class health care professionals and developing cutting-edge procedures and research that improves the health and clinical care patients.  
The UC College of Medicine Center for Clinical and Translational Science and Training (CCTST) is recruiting a full-time Program Manager. This position will manage the operations and functions of CCTST programs such as the Pilot Translational and Clinical Studies core (PCS) which includes administratively overseeing multiple funding programs. 

 


The Program Manager will also be responsible for coordinating the annual External Advisory Committee meeting. Excellent interpersonal skills are critical as the successful candidate will be working with many individuals across the institution, perform administrative staff functions for multiple offices requiring the ability to work independently with sound judgment and a sense of urgency. Will plan, design, evaluate, modify, and coordinate programs for a department or college. 

Essential Functions

  • Provide administrative support for existing programs and development of new programs. 
    • Conduct needs assessments. 
    • Develop promotional materials, promote educational opportunities to a variety of audiences. 
    • Plan and coordinate educational and outreach events. 
    • Data collection for needs assessment, evaluation, and of training programs. 
  • Manage established programs.
    • Public facing online educational content.
    • Grant writing educational programs  
    • Asynchronous research courses
  • Support institutional initiatives around education and the research workforce.
  • Manage career pathway and recruitment initiatives.
  • Maintain the status of projects and trainee outcomes and compile reports and presentations. 
  • Develop program objectives and monitor quantitative and qualitative data on progress toward objectives. Review objectives to identify problems and solutions, prioritize solutions and develop action steps for program improvement. 
  • Provide financial administrative support for program initiatives, prepare reimbursements for university approved expenses, reconcile procurement cards and monitor budget.
  • Develop and implement marketing strategies to recruit students and program participants. 
  • Interact with staff faculty, external agencies, and other university departments. 
  • May conduct research, analyze relevant literature, and other benchmark information to develop grant proposals, new program ideas and propose program changes. 
  • Manage active calendars, scheduling meetings and speaking engagements, and special events. 
  • Screen and evaluate incoming and outgoing correspondence and preparing responses, as appropriate.
  • Experience with or willingness to learn online data capture programs such as REDCap

Minimum Requirements

  • Effective verbal, written, and interpersonal communication skills. 
  • Demonstrated experience with databases and data reporting. 
  • Experience and preference for working in teams. 
  • Comfortable with the use of technology including Microsoft Office applications conferencing software and social media.

Required Education

  • Bachelor's Degree.
  • Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

  • One (1) year of program coordination experience

  • Proven experience managing complex and routine administrative work effectively with knowledge of office procedures and practices. 
  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team. 
  • Effective written and oral communication skills with a keen attention to detail 
  • High proficiency in a variety of technologies, including Microsoft Office 365, with the ability to troubleshoot, research and recommend solutions. 
  • Strong project management skills with a focus on quality, accuracy, and ability to shift priorities.

  • Office environment/no specific unusual physical or environmental demands.
